12. Set a temporary lock

When the user (including the client) has not performed any operation for a set period of time, the system will automatically lock and a password input box will appear, requiring the user to enter the password used when logging in before continuing to operate. If the input fails three times, the program will be closed. This function can reduce the possibility of the system being stolen by others after the operator leaves for a long time. (Only available in the enhanced version).

13. Set up holidays

After turning on the holiday function, when a reader borrows materials and the due date is during a holiday, the system will automatically set the due date to a date you specify. You can set up to 5 holiday times. (Only available in the enhanced version).

14. Current customers

You can view the computer name and operator of the client currently using the library management system, so that you can see which clients are connected to the server and determine whether to shut down or perform catalog library upgrade operations, etc. (Only available in the enhanced version).

(II) Management Module

It includes functions such as "department management", "reader management", "library card application", "reader password management", "borrowing rules", and "reader borrowing history".

1. Department management

In department management, you can add, delete or modify departments and their persons in charge, as well as modify their reader categories.

2. Reader management

It includes functions such as reporting loss, making cards, transferring, canceling and suspending borrowing, setting the library card layout and processing the school badge, and printing library card barcodes.

(1) Report loss

Enter the lost library card number, and the system will give the reader information and automatically issue a new library card number.

(2) Certificate

Users can make library cards in "Reader Management" or "Apply for Library Cards". When you click a department in the department list on the left, the list box on the right will display the names of all readers in that department. You can select "Select All", "Unselect All", or press the right button of the mouse and drag to define an area and then select "Select" or "Unselect" to select readers and print library cards.

(3) Transfer

You can transfer some or all readers of a department to other departments. If you select "Update to the reader category of the new department", the borrowing rights of the transferred readers will be updated to the category of the new department.

(4) Cancellation

Used to delete certain readers. After deregistration, the reader's borrowing history and other information will also be deleted. If a reader has unreturned books, audio-visual materials or periodicals, the reader cannot be deregistered and the system will prompt you.

(5) Suspend borrowing

Used to temporarily revoke or open the borrowing rights of certain readers.

(6) Library card layout and school emblem

Used to set the layout of the library card and make a personalized library card. You must create the school badge image through other software and copy it to the clipboard, then right-click the mouse in the image area on the right and execute "Paste" to obtain the image.

(7) Specify the library card number for printing

When some library cards need to be reprinted for some reason, they can be entered here and then printed.

(8) Print library card barcode

In the above-mentioned library card making, there is a barcode of the reader's number on the library card. Here, it means printing only the barcode containing the name, barcode, and number for affixing to a card similar to a pass.

(III) Compilation and Editing

The collection and editing process includes the cataloging, proofreading, allocation, cancellation, deletion, book subscription, journal registration, barcode printing, etc. of books and audio-visuals. The processing of journals and audio-visuals is similar to that of books, so only books are taken as an example below.

1. Book cataloging

The intelligent cataloging solution provides a standard auxiliary cataloging library with more than 2 million cataloging data, which reduces the workload of library cataloging staff and improves cataloging accuracy.

Cataloging work is divided into two parts: book cataloging (i.e. numbering and shelving) and book editing (i.e. specific cataloging of a certain type of book).

You can search by any of the three elements: ISBN number, title, and author. Scan the ISBN number with a handheld scanner that supports ISBN recognition. If there is such a book in the library's collection, the information of the book will be displayed; otherwise, the system will automatically search in the auxiliary catalog library. If found, it will list the information of the books that meet the conditions. When there is only one record that meets the conditions, the system will automatically call the relevant information into the editing interface for you to proofread and modify. If there are multiple corresponding information, the system will display it in a list, and you can press the up and down arrow keys to select. If no books that meet the conditions are found in the library and the auxiliary catalog library, the system will decide whether to automatically pop up the book editing interface and ask the user to edit it according to your settings.

In the book editing interface, after entering the classification call number, the system will automatically analyze and give the category, and the serial number will be automatically given. In the publisher column, you can enter ? to fuzzily search for the publisher.

2. Book proofreading

This function is used to modify the information of a certain book. Scan the book barcode in the number and click the "Modify" button to modify the book.

3. Book Allocation

This function enables the allocation of books between different bookstores. Scan the book barcode in the number, the system will list the book information, select the bookstore to be allocated to, and execute "Allocation".

4. Book cancellation

Scan the book barcode in the number, select the cancellation reason, fill in the remarks, and click "Confirm Cancellation" to complete the cancellation of a book.

5. Delete books

This function is only available to system administrators. During the book editing process, if a book is edited incorrectly, such as a wrong book number, this function can be used to delete the wrong book.

6. Book Subscription

This function is used to handle the situation of purchasing a batch of books at a time. You can set the order form for a batch of books here. You can add, delete, and modify batches.

7. Subscribe to books

After a batch of books arrives at the library, you can register them here. First, confirm the batch, select the corresponding book type, and click the "Book Registration" button to register. If you want to cancel the subscription of this batch, you can execute the "Cancel Subscription" function.

8. Summary sheet editing

When the library purchases a batch of books, it is necessary to edit the summary list of the batch of books in order to query and manage the batch. If you delete a registration number and a book with the registration number has arrived at the library, the deletion fails and the system will prompt you.

9. Print barcode

Here you can print the barcode of the book or audio-visual material number. This barcode is Code39Extended with verification.

First, select whether it is a book barcode or an audio-visual material barcode. The system will then automatically give the starting number for printing the barcode (the last number printed last time plus 1), and set whether to print the library name and whether to print double barcodes according to the status set when you printed last time. At the same time, set the number of prints and the layout. Of course, you can modify each setting at will, and then you can set the printer and paper parameters. Various settings will be automatically saved for sharing by all computers in the library network.

10. Print classification number

You can print by consecutive number, time interval, specified number, or whether to print only the number entered by this operator, and you can print in any order of time, number, and operator name. You can view it before printing. The set layout data will be saved to the server after printing, and will be effective for all operators the next time they enter the library system. If you print by time interval, you can execute the query time function to obtain the cataloging time of a book and copy and paste it into the time interval.

(IV) Circulation

Circulation includes the borrowing and returning of books, audio-visual materials, reservations, overdue fines, and the borrowing and returning of periodicals.

1. Book borrowing

Borrowing is the most common task in daily life. First, scan the library card number with the barcode reader, then scan the book number, and you can complete the borrowing work for a certain reader. You can scan the reader's library card number in the book number to move on to the next reader's borrowing work.

When a reader has overdue books, he or she can no longer borrow them, and the system will prompt you.

When a library card has been declared lost, the system will also prompt you to retain the card and make it invalid.

After scanning the library card number, the system will automatically display the reader's borrowing rules list in the upper right corner, and the borrowed book list will be displayed below. Press F5 in the borrowing interface to quickly enter the "Book Return" process.

Note: A reader cannot borrow books if they have the following conditions: the maximum number of books of a certain type has been reached and they want to borrow books of that type, there are overdue books, there are unpaid fines, and the borrowing is suspended. These rules are automatically enforced by the system.

2. Book Return

The operation of returning books is very simple. Just scan the book number. If the book is a borrowed book, the system will retrieve and display the book title and page number and other information, and prompt that the book has been returned successfully. If the reader who borrowed the book has an overdue fine to pay, a prompt message will be displayed at the bottom of the window to remind you to collect the fine. For the overdue fine, the operator can temporarily not collect it, but the reader cannot borrow the book again if the fine is not paid. The same is true for overdue audio and video.

If a book is found damaged or lost when it is returned, it cannot be returned directly. The option "Books need to be proofread when returned" should be selected. In this way, the book information will be displayed when the number is scanned in for the first time, and the return will be confirmed when the number is scanned in for the second time. If a fine is required, after the number is scanned in for the first time, the "loss and damage compensation" function can be executed to compensate for it. During the compensation process, if the "collection" function is executed, the book will be automatically returned and the information will be updated synchronously in this window.

If a book is damaged, its previous damage status will be displayed for inspection when it is returned.

If the classification number corresponding to the book is reserved by a reader, the system will assign the book to this reader and prompt you at the bottom of the window.

3. Book Compensation

You can use this function alone. Scan the library card number in the library card number field, and the system will list the borrowed books for selection. Enter the voucher number, compensation amount, and description, press Enter in the compensation amount field, and then select whether the compensation reason is damage or loss, and then click "Collect Payment". If the reader has unpaid overdue fines, the system will collect them at the same time.

If you select the option "Books need to be proofread when returned" when returning books, and execute "Lost and Damage Compensation" after scanning the book number for the first time, the system will automatically set the library card number and the books to be compensated, and the rest is the same as above.

4.Book (audio-visual) reservation

Scan the library card number, the reader information will be displayed, and the reader will be checked to see if he has reservation authority. If not, you will be prompted and the reservation cannot be made. If the total number of books and audio-visual materials reserved by the reader has reached the maximum number, no more reservations can be made.

Select the type of reservation you want to make, "Books", "Audio/Visual", or "Automatic". When you select Automatic, the system will search for the call number in Books and Audio/Visual in turn, and will display the information here when it is found. If you specify Books or Audio/Visual, the system will only search in the relevant library. If the material corresponding to the call number is in stock, the system will prompt you in which library how many books are in stock and cannot be reserved.

The reservation function can be used in conjunction with book search. When you have found a book you need, double-click the book to check its inventory status. If it is out of stock, you can use reservation to register it.

5. Appointment Management

You can search by "All reservations", "Arrived reservations" or "Unarrived reservations", and specify the reader range as "All", "Specified departments" or "Specified readers", and specify any one or two time values ​​in the time period. If a reservation has arrived, the arrival information will be displayed under the "Arrived" item in the list. You can also cancel some or all reservations.

6. Book arrival notification

" You can query the arrival (return) status of reserved books and audio-visual materials within a certain period by "all", "specified department" or "specified reader".

7. Overdue fines

Scan the library card number and the system will list the overdue fines that the reader should pay. Click "Collect Payment" to complete the collection.

(V) Statistics

Statistics include comprehensive statistics, collection classification statistics, collection change statistics, book flow ranking, circulation rate change tracking, etc. Right-click the mouse in various statistics and inquiries to print and send the table content to Excel.

1. Comprehensive Statistics

Count the number of departments and readers corresponding to each type of readers, and count the types, number of volumes and amount of books and periodicals in the library collection.

2. Collection classification statistics

You can count the classification of the library's books or audio-visual materials in the whole library or in each collection room at a certain period. You can also display and print the statistical information in the form of charts. In the chart, you can display it in various forms such as distance, cone, column, arrow, etc., and you can specify its color at will. You can display the value, proportion, item name or any combination of each item, which is very flexible and diverse.

3. Statistics of collection changes

The changes of books or audio-visual materials in the whole library or each library in a certain year can be counted, and the statistical data can be displayed or printed in charts.

4. Tracking of attendance rate

The number of readers who visited the library in a certain year can be tracked, and the results can be displayed and printed in the form of graphs.

5. Turnover Ranking

The ranking of books or audio-visual materials with borrowing times above or below a certain number in a certain period can be counted. The results can also be displayed and printed in the form of graphs.

6. Calculate the turnover rate by month

The flow of books or audio-visual materials in each month of a certain year can be counted.

7. Classification statistics of turnover rate

Statistics are compiled by category to show the number and turnover rate of books or audio-visual materials in circulation in the entire library or a certain library during a certain period of time.

You can query the loan status of books, audio-visual materials or periodicals according to any of the four conditions: "All", "Specified Category", "Specified Department" and "Specified Reader". The conditions that can be queried are: loaned out; overdue; borrowed for more than xx days; due date or borrowing date before or after xx date.

2. Book search

You can search for books based on ISBN, classification call number, title, author, publisher and abstract. The search can be precise or fuzzy. The search results can be added to existing or new self-compiled bibliographies. Double-clicking the left mouse button on a row of the search results can query the inventory status of the book.

After the search conditions, first select the item to be searched, then select whether the matching condition is "equal to" or "contains", then enter the keyword and execute "query" to get the search results.

Fuzzy search method: This method is generally used to search for ISBN, classification number, book title, author, subject and abstract, etc. The search condition is included. If no wildcard characters are entered in the keywords, for example: "culture", the system will interpret it as "%culture%". If we enter wildcard characters, such as "%culture", the system will no longer automatically add wildcards.

The wildcard characters that can be used in keywords are as follows: %: a string consisting of any number of characters -: any single character []: appears in the specified range (for example, [af] means any character in abcdef).

If we need to add the search results to our self-compiled bibliography, we can execute the "Add all to bibliography" or "Add single entry to bibliography" function.

The WEB terminal realizes Chinese and English comparison.

Select the sorting category and library, and execute "Query" to find the detailed account of books entering the library during a certain period.

6. Summary of overdue books

Mainly used to urge the return of overdue books. The left side lists the departments with overdue books and the number of overdue books. Clicking the mouse in the overdue number will cause a finger icon to appear. Clicking this icon will allow you to query the specific overdue situation of the department. Right-clicking the mouse will allow you to execute the "Print" function to print the urging list.

7. History of Book Borrowing

Scan the book number or enter the classification call number and press Enter to query the loan history of the book with that number or call number.

8. Cancelled books

Select the sorting item and the library, and execute "Query" to find the books that have been cancelled in the library or the library in a certain period. If the "Clear materials that are no longer in the library" function is executed in the "System" menu, this information will be cleared.

9. General Registration Form

You can search by "all", "specified time" or the corresponding "year" when using "summary sheet editing" in the "editing" menu.

The system will list the total number of species, total number of volumes, total amount and the number of species, number of volumes and amount of each category according to the summary registration number within the specified conditions.

11. Self-compiled bibliography

The submenu will display a list of self-edited books. After selecting a book, the system will display the information of these items according to the list of selected items in the book.

Click the icon to display the overdue books and fines of each reader in the department. Right-click the mouse to print a summary table of each department or a detailed table of the department. This function is very useful for collecting fines and collective borrowing.

13. Detailed account of fines collected

It can list the detailed accounts of fines collected in a certain period and their summary and the total amount collected by each operator. It is mainly used to check the accounts of fines collected.

1. Data backup

Data backup can prevent major losses. Regular backup is a good habit. The system will check the time of the last backup every time you enter it. If the interval exceeds a certain period, it will remind you that you should back up.

If the hard disk where the data of this system is located in the server is damaged, we have no choice but to replace the hard disk and reinstall the system as needed. Note that the logical drive letter of SQL Server installation should be consistent with the original one, otherwise it will cause data recovery failure. If the backup data is in a folder on another physical hard disk of the server, first use the "Set backup folder" function to set this folder as a backup folder. If the data is on the client, please copy it to a backup folder on the server and then make the above settings. Then you can execute the "Data Recovery" function to restore the data and each operator password to the state at the time of the last backup. The network mirror folder should be selected as a shared folder of the client to achieve cross-machine backup.

You can also set up a more powerful backup solution through the system management program, and combine it with the automatic backup service to achieve a complete backup that combines manual and automatic functions.

Although we provide a complete backup function, it is still important to regularly copy the easybook.ebb file to a USB key disk, etc., because if a virus enters the network, it is likely to cause the entire network to crash and file loss, leading to serious consequences. Therefore, manually copying files to a removable disk should become a basic rule of library work.

2. Data Recovery

You only need to execute this function when a failure occurs or in some special circumstances. During the execution, there will be detailed prompts to remind you of the time of the last backup operation and the time of the selected backup file. After the execution, the result will clearly tell you whether the operation is successful. This function can only be executed on the server side, and must not be run by the client library management system. Please note that after the recovery is successful, the passwords of each user will also be restored to the state at the time of the last backup.

8. Help

In addition to the help document, there is also a "I'm leaving temporarily" function. After execution, the system will display a password input box, requiring the user to enter the password used when logging in before continuing to operate. If the input fails three times, the program will be closed. This function can reduce the possibility of the system being stolen by others after the operator leaves. It is recommended that the user execute this function when he needs to leave but does not want to end the operation of this system.
